4. Purpose of processing personal data

The personal data included in the stakeholder data file is used for the management of stakeholder relations, provision of services, communications, marketing, development of services, sending of newsletters as well as other activities related to the management and development of stakeholder relationships. The data may also be used for monitoring and statistical purposes. Electronic and focused communications are possible.

5. Content of the data file

The data file contains the following grouped data on data subjects:

membership of the newsletter distribution list

grouping data, if any

date when the personal data was included and reasons for inclusion.

The personal data will be stored until further notice or until the person wishes to exit the list themselves.

6. Regular sources of data

The data registered in the file is primarily obtained from the data subject themselves or a representative of their organisation in the context of cooperation and the subscription to the newsletter, participation to a draw or survey and, depending on the position, based on work duties or position.

7. Regular disclosure of data

No regular disclosures of personal data to third parties. In order to manage its stakeholder cooperation, Itla may disclose data from the file to parties that it has concluded a cooperation or co-development agreement with when reasons exist for the disclosure (e.g. arranging a joint event).

8. Transfer of data outside the European Union or the European Economic Area

Itla does not transfer data outside the European Union or the European Economic Area. The data may, however, be transferred outside the EU or the EEA in the services utilised by Itla, but only in services that ensure a level of data protection similar to that provided by the EU General Data Protection Regulation when data is transferred in the global infrastructure (e.g. Google, MailChimp, Survey Monkey).

9. Principles of protection of the data file

The data file is stored in electronic systems that are protected by means of appropriate technologies, such as a firewall. The stakeholder data file is only used by Itla’s employees who need the information for their work duties. Every user has a personal username and password. The employees are committed to processing personal data confidentially and only as appropriate for the purpose. Manual materials are kept in locked storage. As the main rule, data is only stored electronically, unless manual storage is necessary for archiving purposes, for example.

10. Inspection, rectification and prohibition rights

The data subject has the right to inspect their data contained in Itla’s stakeholder data file. The signed inspection request must be sent in writing to the data controller’s contact address for matters related to the data file by e-mail or by mail. The data subject has the right to rectify any incorrect data by contacting the data controller. The data subject also has the right to prohibit the use of their data for direct marketing as well as marketing and opinion surveys by notifying the data controller.
